1.JOB Position: Sr. Officer Finance and Administration
Reports to: Manager Finance and Administration
Job Responsibilities
RESPONSIBILITIES & MAIN WORKING TASKS FINANCE WORK (60%)
> To maintain financial systems and controls to ensure the efficiency, integrity and transparency of the office operations in accordance with corporate guidelines, national legal requirements and (GAAP-General Accepted Accounting Principal).
> To ensure all accounting records and supporting documentation for all financial transactions are maintained in a systematic order and in a safe and secure condition under the custody of the organisation.
> To maintain accurate and effective financial controls on all transactions incurred by the office
> To maintain effective control over Cash and Bank account to ensure that the office funds are well managed and that adequate funds are available to meet the organisation’s responsibility.
> To prepare quarterly, monthly financial reports as well as prepare statutory financial report to the IR finance department.
> To assist and support the Manager Finance and Administration ensuring that all field office bill and voucher expenditures checking and meet partner and institutional donor requirements and remain within the approved plans and budgets.
> To manage and undertake quarterly internal audits of the office and to take corrective action on recommendation.
> Provides accurate and punctual financial management, reports and forecasts on the organisation’s income and expenditure.
> Support Financial Manager in the development of plans and budgets for new proposals.
> Any other task assigned by Line Manager or senior.
> Good Knowledge about VAT and TDS and VAT and TDS deduction from the bill as per Govt. rules and regulation and to meet periodical financial compliance.
ADMINISTRATION WORK (40%)
> Undertakes general admin tasks under the direction of the Finance and Admin Manager e.g. dealing with items of orrespondence, telephone messages & enquiries and filing
> Maintains human resource files, staff leave record, attendance register, time sheet, reconciliations, fixed asset registers, purchasing files, agreement files, incoming/outgoing register etc.
> Issues invitation to bidders and suppliers, collects quotations, prepares comparison sheet and submits with recommendation to Finance and Admin Manager and Senior Manager as needed.
> Prepares purchase orders for procuring goods/services
> Carries out general shared office related works, such as receiving guests, arranging trainings and meetings etc.
> Carries out small procurement, maintains office supplies and ensures cleanliness in the office. – Provide logistic support to all staffs and interns
> Carries out payment of monthly routine bills/ invoices (Telephones, Electricity, Water etc.)
> Supervises Support staffs, Guards and outsourced ancillary staff.
> Assists to purchase, regulate and maintain the insurance policy for staff members and asset of the office.
> Keeps record of office inventory and maintains inventory ledger.
> Manages repairs and maintenances of office building, furniture, computers, intercom and equipment.
> Support MFA for Timely deposit of monthly TDS into Inland Revenue Office (IRO) and perform e-TDS.
> Ensures all administrative documents are kept safe and secure
> Timely collection and payment of bills/invoices and settlement of advance, liabilities and receivables.
> Carry out administrative process to meet the objective of program activities in Country Office.
> Carries out banking transactions of the office.
> Ensures logistic support to organize organizational events and workshops effectively
> Ensures basic IT support to all staffs – Supports other works as per need as directed by Senior Manager, supervisor and other staffs.

Job Responsibilities
Program Logistic related
> Delivering training programs
> Planning for Program Conduction
> Organizing workshops & seminars
> Assist to conduct Training Need Assessment.
> Ensure smooth delivery of programs conducted
> Logistic Management liaising with Admin and sales team, for programs, workshops & other activities performed by NBI
> Program Administration (certificates, feedback compilations etc)
> Co-ordinate with trainers in regard to the program
> Arrange logistics for trainers (hotels, travel) liaising with Admin team.
> Arrange logistics for programs as needed (Nametags, certificates, stationeries etc)
> Ensure Preparation of training material.
> Support immediate supervisor as per request/ need.
> Assist the Program Officer to improve the delivery of programs through continuous feedback on programs.
> Timely dispatch of Certificates
Academic Course related
> Ensure proper filing of candidates enrolled in certification courses
> Ensure the timely communication of various kinds of notices to the concern
> Support in planning of examinations and workshops
> Arranging meetings with SMEs at prescribed intervals of time
> Preparation of minute of the meetings
> Handle the printing of the questions by maintain the secrecy
> Preparing the seat plans for different kind of examinations
> Coordinating with different Hotels and venues for the conduction of examinations
> Any other special assignments given by the line manager

3. JOB Position: Trainee Assistant
Reports to: Senior Executive- Service and Examination

> Get package ready for program
> Assist to conduct Training Need Assessment.
> Ensure smooth delivery of programs
> Logistic Management liaising with Admin and sales team, for programs, workshops & other activities performed by NBI
> Program Administration (certificates, feedback compilations, filing etc)
> Co-ordinate with trainers in regard to the program
> Arrange logistics for trainers (hotels, travel) liaising with Admin team.
> Arrange logistics for programs as needed (Nametags, certificates, stationeries etc)
